You are free to select the caterer of your choice from the list here thus benefiting from the peace of mind that they all conform to our highest standards.

managing registration

The QUARTZ CONGRES has a software package through which you can manage the registrations for your event via the internet. This ready-to-use service, including all the financial aspects of the process, is managed in its entirety from the moment the registration list is drawn up right up until your guests arrive.

Description

Preparation

  • Creation of registration forms (exclusive of printing)
  • Creation of customised documents (confirmation letters, bills, vouchers for various services, badges, attendance certificates, etc.)
  • Online registration service setup (including various tests)
  • Summary report setup

OPTION : Translation of all (English) documents on a case-by-case basis.

processing registrations

  • Reception of registration forms (mail, fax, e-mail and internet)
  • Verification and registration (including possible contacts with guests via telephone or e-mail)
  • Publication of customised documents (confirmation letters, bills, vouchers for various services, badges, attendance certificates, etc.)
  • Mailing of confirmation letters and the corresponding bills
  • Managing payments (including 2 reminder notices by mail)
  • Publication of summary reports (lists of participants, payment) upon request.

NB : All bank charges incurred due to international monetary transfers are to be undertaken by the organisers.

welcoming guests

  • Enrollment of guests (including the welcome committee):
  • Signing in
  • Distribution of badges, vouchers, gifts and documents relating to the conference
  • On-site enrollment and payment

NB : reception is open throughout the conference.

Within the context of registration and enrollment management, the QUARTZ CONGRES is commissioned by the organiser to receive payment for registrations.
This will appear on the bill returned to each guest and will feature the VAT to which the organiser is subject.
A contract specifying these aspects will be drawn up between the QUARTZ and the organiser.
Following the event, a financial report will be drawn up specifying the income (guest enrollments) and expenses (bills for services provided by the QUARTZ) for the course of the event.
